Are we required to send in receipts?
A) No, this grant is based on the trust/honesty system. The Memorandum of Understanding we have you sign is an agreement that you will use the grant money only for its intended purpose: buying chocolate milk for your team and keeping it cold.
Can we order the chocolate milk, now even though we do not have our grant checks yet, and then use the funds later to reimburse ourselves for the chocolate milk?
A) Absolutely! If you want or need to order the chocolate milk now you can do that and when the checks arrive you can “reimburse” your funds for the chocolate milk already purchased.
How do we go about purchasing the chocolate milk?
A) Probably the easiest way to purchase the chocolate milk for your athletes is to work with your school’s foodservice department. The schools foodservice department has to purchase milk for the school meals, so they are purchasing milk anyway. You could have them add your order to the order they already make and then you can have some of your athletes pick up the chocolate milk from the foodservice department for practices and games. Other schools use their booster clubs or have parents purchase the chocolate milk using the grant money. We have also had coaches buy the chocolate milk at a grocery store using grant funds as well.
Can the grant checks be made out to someone other than the school?
A) The checks cannot be made out to individuals. They can be made out to organizations like athletics departments or booster clubs if the organization has its own bank account. Your safest option is to have the check made out to the school.
When taking the photos of our “Chocolate Milk Celebrities” poster, are you looking for individual photos, group photos, or both?
A) We do require that you send in at least one photo of your entire team, but we do encourage you to be creative, so you can send pictures of small groups and individuals photos as well (i.e. captains, seniors, et). The one thing that we do ask is that you do not take photos wearing full official jerseys or competition gear, per MHSAA guidelines, but you may wear practice jerseys, warm-ups, t-shirts, or anything else that shows your school name and team.
What format do the photos for grant posters have to be in when we submit them?
A) The photos need to be a high resolution so that our graphic designer can make them look great in the poster layout. Each photo file must be at least 1 MB large. An e-mail will be going out giving the exact photo specifications and requirements, along with information about how to submit the photos to us.
What if we have funds left over after this season? What do we do with the money?
A) If you have funds left over after your season, we ask that you either transfer it to another sport for their use in purchasing chocolate milk, or you can give the leftover funds to your sister or brother sport (i.e., baseball and softball, girls and boys basketball, etc.). You can also use the money during the next sports season for a different sport at your school.
Is the team photo release form for the grant posters just signed by one person, or does every parent have to sign?
A) The team photo release form only has to be signed by one school administrator or coach. Instead of requiring a photo release for each student in the team photos, the team photo release form asks you to verify that each student-athlete on your team has a photo release on file at your school.
How much money will my team be receiving?
A) The amount of money your team will be receiving to purchase chocolate milk is based on the number of athletes on your team. It is stated on the memorandum of understanding that you were sent with your award notice email.
If some of the money that is allocated for coolers/refrigerators is left over, what do we do with it?
A) If you have bought a cooler or refrigerator (or if you didn’t need to buy a cooler) and you still have some money left from the amount that is allocated for keeping your milk cold, we ask that you use it to buy chocolate milk.
Can the grant money be used to buy other dairy foods?
A) No, the grant money should only be used for chocolate milk.
