Dairy Promotion Grant Program

PRIOR TO EVENT:

1. Individuals must complete the online UDIM Dairy Promotion Grant Program Application Form, including an itemized budget to apply for funding.
   1. To download the application as a PDF, click here. Completed applications need to be received by UDIM (either online or by mail) at least 25 days prior to the event for funding consideration. If you mail your application request to UDIM, allow an extra week for processing.
   2. Applications and reimbursement forms change at the start of every year. Please do not use previous years’ forms.
2. Following receipt of grant applications, UDIM will review the grant application and if approved will provide email approval within 10 business days.
   1. Confirmation email will include your grant number, reimbursement and survey forms attached.
3. If there are questions about the grant application or event, UDIM staff will connect with the person submitting the application as soon as possible.
4. If the application is denied, UDIM staff will let the person submitting the application know which guidelines are not met.
5. Once grant approval is received, the producer is responsible for implementing planned promotion:
   1. Ordering dairy promotion items by calling the UDIM office at 517-349-8923. Please allow 1 – 2 weeks for processing and shipping.
   2. Ordering and purchasing dairy foods
   3. Saving itemized receipts from the store or vendor for everything purchased for the event (Click here for receipt examples).
   4. Ensuring proper food safety care and handling of dairy foods. Always strive for 35 degrees!

EVENT DAY:

1. Take photos at the event of participants enjoying dairy foods to submit with reimbursement paperwork.
2. Have a great time!

AFTER EVENT:

1. Turn in reimbursement form, survey form, photos, and original store/vendor itemized receipts within 30 days of the event.
   1. Handwritten receipts are not acceptable.
   2. PDF digital photos must be an attachment with the email. Do not include in body of email. Email to dairyproducergrant@milkmeansmore.org. Developed photos may be sent with reimbursement paperwork.
2. UDIM will issue reimbursement check for approved expenses backed by original itemized receipts within 30 days of receipt of reimbursement paperwork.

Proper completion of grant application:

• Complete the online application.
• At the bottom of the online form check the box that you have read and understand the grant guidelines
  Please Note: The RECEIPTS section has been updated.
• Then click SUBMIT.
• If you entered your email, you will receive a copy of the completed grant.
• If you mail your application request to UDIM, allow an extra week for processing.

RECEIPTS:

Store or vendor receipts must:

1. Include an itemized list showing items that have been purchased
2. Include the store or vendor name on them

Receipts cannot be:

1. Handwritten
2. The credit card authorization of payment. This does not show itemized items.
3. A Statement. The statement only shows that an invoice was issued for a dollar amount.
